Example
A client writes "Could the cleaners come an hour later today?" The crew lead sees it right away and confirms.
What changes
- Schedule changes reach the crew lead directly.
- The office keeps an overview in the dashboard.
- Crew members never see the client's number unless you allow it.
Typical WhatsApp messages at a cleaning company
Most client messages are short and practical, and the answer is rarely at the office. These are common ones and who usually knows the answer.
One coworker per customer
Each customer conversation goes to one coworker at a time; on Pro or Pro+ new customers are offered to all your coworkers. Most cleaning companies pick the person who answers most questions, often the planner or a crew lead, and switch the coworker in the dashboard when someone else is on duty. With Pause you stop forwarding in the evening; messages wait until you switch it back on. If several crew leads must see and answer the same chats, a team inbox fits better. If you only want to tell clients when you are closed, the free away message in WhatsApp Business may be enough.
Client privacy and temporary staff
Cleaning teams change often. By default the coworker sees "Customer 1", "Customer 2" instead of phone numbers, so client numbers do not end up on the private phones of temporary staff. Photos and locations still come along, which helps a crew find the right entrance. Agree with clients which details they send by WhatsApp: door and alarm codes are better shared once through another channel than kept in a chat. See WhatsApp Business and the GDPR for your privacy notice.
How it works, in 3 steps
- Create an account at app.in-between.tech with your email address and a password. No card needed.
- Connect WhatsApp: scan the QR code or enter the pairing code, exactly like WhatsApp Web. Your phone keeps working as normal.
- Enter your coworker's number. From then on every customer message reaches your coworker. When they reply, the answer goes back to the customer from your business number.
Photos, locations, voice notes and documents come along. With Pause you stop forwarding temporarily, for example in the evening. Messages wait until you switch it back on.
Forward customer messages automatically. Replies go back from your number.
Try free for 30 days| Client message | Who usually knows the answer | Why it matters |
|---|---|---|
| "Can you come an hour later today?" | Crew lead on site | Only the crew can shift the round. |
| Photo of a spot that was missed | Crew lead or supervisor | It can be fixed on the next visit, with a reply the same day. |
| "Can you also do the windows next week?" | Planner | Extra work needs a free slot in the schedule. |
| Photos of a space for a quote | Owner or planner | The photos show size and condition before anyone drives out. |
Frequently asked questions
Do I need a new WhatsApp number?
No. You connect your existing WhatsApp or WhatsApp Business number, the same way you would connect WhatsApp Web. Customers keep messaging the number they already know.
Can my coworker see customer phone numbers?
Not by default. Your coworker sees "Customer 1", "Customer 2" and so on. You can choose to show numbers in the dashboard.
How much does it cost?
New accounts get 30 days of Pro+ free without a card. After that you can stay on free Basic (25 customer messages per month), or choose Pro at €87 per month (2,000 messages) or Pro+ at €142 per month (unlimited). Cancel monthly.
Can each crew lead get their own clients?
Yes, on Pro (up to 2 coworkers) or Pro+ (up to 20). A new client is offered to all crew leads and the first to answer Yes keeps that client. You can switch a client in the dashboard. If several people must answer the same chats, a team inbox is the better fit.
